How Dental Clinics Use HighLevel: 4 Published Case Studies, What Was Built, and What the Numbers Really Say
Short answer
We found four published case studies of dental clinics using HighLevel (GoHighLevel), and all four are written by the agencies that built the systems, so every number is self-reported. They report no-show reductions of 27%, 31%, 38%, and 71% (24% down to 7%), plus recall and review gains. The builds are strikingly similar - layered SMS and email reminders (48 hours, 24 hours, 2 hours), a one-letter reply to confirm or reschedule, a waitlist that refills cancelled slots, a 6-month recall sequence, and a review request after the visit. Use them as a checklist of what to build, not as a forecast, and budget for HighLevel's $297/month HIPAA add-on, since accounts aren't HIPAA compliant by default.
US only: A2P 10DLC registration applies to US phone numbers and US carriers. Texting rules in the UK, EU, Australia, New Zealand and Canada are different (sender ID, number bundles, consent laws), so check your own country’s rules before relying on this.

Most dental software vendors say their reminders cut no-shows. What's harder to find is a description of what a clinic actually set up and what happened afterwards. HighLevel (often called GoHighLevel) is a marketing and CRM platform that agencies use to build reminder, recall, and review systems for local businesses, and a handful of those agencies publish dental case studies.
We read every dental case study in our HighLevel case studies database again on October 20, 2026, and kept only the ones whose numbers still match the source page. That left four. This page lays out what each clinic built, the results as the agencies state them (quoted exactly), the patterns they share, and the caveats you should read before you borrow a number for your own practice or pitch.
No income claims: results vary. Every case below is published by the agency that did the work, about its own client. We couldn't verify any of the figures independently, and none of them is typical.
Are there real HighLevel dental case studies?
Yes, but they're agency-published, not independent studies. We found four dental examples with concrete numbers. Three are single-client case pages and one is a benchmark table across an agency's own builds. None names a patient, none links to raw data, and two of the four clinics aren't named at all.
| # | Clinic (as described) | Published by | Headline result (quoted) | Label |

| 2 | Multi-location dental group (three locations) | GHL Prime | "Reduced no-shows by 38% and reactivated 220+ lapsed patients in the first quarter" | Agency-published / self-reported |
| 3 | Three-clinic dental group in Dubai | Digi Soft Rank | "+74% Booked appointments across three clinics in 3 months" | Agency-published / self-reported |
| 4 | Anonymous dental clinic | Arslan Automates | "27% fewer no-shows" and "+19% recall revenue" | Agency-published / self-reported |

Source: GHL Expert, "Private Dental Practice Recovered 71% of Missed Appointments With Automated Reminders" (undated, checked October 20, 2026). Agency-published / self-reported.
The clinic: a private practice with 3 dentists and 2 receptionists. The agency says the receptionists "spent over 4 hours every afternoon manually calling patients to confirm next-day appointments," new patients filled in paper forms in the lobby, and "over 40% of patients drifted away" without an automated recall system.
What was built (in 12 business days, per the page):
- Digital intake forms sent by SMS when a patient books.
- A 3-step SMS and email reminder sequence at 48 hours, 24 hours, and 2 hours before the visit, with a one-tap reply ("C" to confirm, "R" to reschedule).
- Missed-call text back for after-hours callers, with an online booking link.
- 6-month recall workflows that fire at 5 months and 3 weeks after a hygiene visit.
- A review request 2 hours after the appointment, sending 5-star responses to Google and lower ratings to an internal alert.
- A waitlist pipeline that texts patients wanting an earlier slot when someone cancels.
Results the agency reports at 90 days:
- No-show rate from 24% to 7% ("71% Reduction in Missed Appointments").
- "+52% New Patient Bookings," which the page credits to missed-call text back and web chat.
- Google rating from 4.2★ (34 reviews) to 4.8★ (146 reviews), described as "112 new 5-star Google reviews in 90 days."
- The recall workflow "reactivated 67 patients who had not attended in over 8 months."
- "Practice revenue increased by $18,400 monthly without adding administrative staff."
Read carefully: the page is inconsistent on time saved. Its results card says "4 hrs/wk Front Desk Time Saved," while the text describes 4+ hours per day of confirmation calls before. The revenue figure has no breakdown. The clinic isn't named and the quote is attributed only to "Principal Dentist & Practice Owner."
Case 2: A three-location group that cut no-shows 38% and reactivated 220+ patients
Source: GHL Prime, "Dental Recall & No-Show Reduction with GoHighLevel" (last updated June 1, 2026, checked October 20, 2026). Agency-published / self-reported.
The clinic: "a growing dental group" across three locations where front-desk staff called patients by hand to confirm visits and chase overdue cleanings.
What was built: "staged SMS and email reminders before every visit, a smart waitlist that auto-fills cancellations, and a reactivation campaign that pulls patients overdue for a cleaning back into the chair," with a view of which patients are confirmed, waitlisted, or overdue.
Result as stated: "Reduced no-shows by 38% and reactivated 220+ lapsed patients in the first quarter."
Read carefully: there's no starting no-show rate, so you can't tell whether 38% means 20% to 12.4% or 10% to 6.2%. There's no clinic name, patient count, or revenue figure. Treat it as a description of a build, with one headline number attached.
Case 3: A Dubai dental group using WhatsApp instead of SMS
Source: Digi Soft Rank, "Dubai Dental Group" case study (undated, checked October 20, 2026). Agency-published / self-reported.
The clinic: a three-clinic group whose patient enquiries arrived through staff WhatsApp accounts, form emails, and phone logs, with "no consistent follow-up cadence."
What was built:
- A HighLevel sub-account per clinic, one patient pipeline, and a booking calendar per practitioner.
- WhatsApp Business API (through a provider called WATI) connected to HighLevel workflows for enquiry acknowledgement, appointment confirmation, a 24-hour reminder, and a post-appointment review request.
- UTM and source tracking on every marketing channel, with weekly reports on enquiry-to-appointment conversion by source and by clinic.
- Role-based access and clinic-level data separation, described as meeting local health-authority standards (DHA and DoH).
Results as stated, over 3 months:
- "+74% Booked appointments across three clinics in 3 months."
- Enquiry follow-up under 15 minutes, "from a prior mixed 24-72 hour average."
- "-31% No-show rate after WhatsApp reminder workflow."
- "-42% Cost per booked appointment once source attribution enabled optimisation."
Read carefully: this group was also running paid marketing, so the booking and cost-per-appointment gains mix ad optimization with automation. It's also a WhatsApp-first market. In the US, the same flow runs over SMS, which needs A2P 10DLC registration (see our A2P 10DLC guide).
Case 4: An anonymous clinic in an agency's 13-build benchmark
Source: Arslan Automates, "GoHighLevel Automation Results: Benchmarks from 13 Real Builds (2026)" (October 5, 2026, checked October 20, 2026). Agency-published / self-reported.
The page is a table of one build per industry by the same freelance builder. The dental row reads: "27% fewer no-shows," "<3 min intake to confirmed," "11/day self-booked," and "+19% recall revenue." The article adds that three appointment-based builds "measured no-show reductions of 27% (dental), 31% (med spa) and 32% (veterinary) after replacing one manual reminder with a layered SMS and email sequence."
Read carefully: it's one clinic, unnamed, with no starting rate or time period for the dental row. The useful part is the comparison: the same builder saw roughly a one-third no-show cut across three kinds of clinics, which is a more modest and probably more realistic range than the 71% headline in Case 1.
What do these dental builds have in common?
Strip out the marketing language and the four builds look almost the same. If you're setting this up for your own practice or a client, this is the checklist:
- Layered reminders, not one. Every case replaced a single phone call or text with a sequence. Case 1 spells out the timing: 48 hours, 24 hours, and 2 hours before.
- A one-letter reply. "C" to confirm and "R" to reschedule turns a silent no-show into a cancellation you hear about the night before. Our dental missed call text back guide has HIPAA-careful wording for these texts.
- A waitlist that refills the slot. Cases 1 and 2 both say freed-up slots were offered automatically to patients who wanted an earlier visit.
- Recall on a timer. Overdue hygiene patients are the "lapsed patients" in Cases 1 and 2. A recall sequence at about 5 to 6 months is the most repeatable revenue line in these stories.
- A review request after the visit. Cases 1 and 3 both send one automatically. The jump from 34 to 146 Google reviews in Case 1 comes from this step.
- Faster first response. Case 3 went from 24 to 72 hours to under 15 minutes, and Case 1 credits new bookings to missed-call text back. If calls go unanswered at lunch or after hours, our AI receptionist for dental offices guide covers the phone side.

The plan, the HIPAA add-on, and message usage. As checked on October 20, 2026:
| Item | Price (USD) | Source |
|---|---|---|
| HighLevel Starter plan | $97/month | HighLevel pricing |
| HIPAA add-on (account-wide, includes a BAA) | $297/month; can't be canceled, refunded, or downgraded once enabled | HighLevel: HIPAA Compliance (modified June 11, 2026) |
| SMS, per segment | $0.00747 outbound and inbound, plus carrier fees | HighLevel: Phone System Pricing |
| Local phone number | $1.15/month | same |
| A2P 10DLC registration (Low Volume) | $22.50 one-time + $1.50 to $10.50/month per campaign | same |
HighLevel's help article says accounts are not HIPAA compliant by default. Reminder texts that include a patient's name and appointment are likely to count as protected health information, so most US practices should plan for the add-on and a signed business associate agreement. None of the four case studies mentions what HIPAA setup it used. Our GoHighLevel pricing guide breaks down the plans, and the missed call calculator estimates what unanswered calls may be costing you.
As a rough example: a practice with 400 appointments a month sending three one-segment reminders each is 1,200 outbound segments, about $8.96 in HighLevel's per-segment charges before carrier fees and replies. The HIPAA add-on is by far the larger cost.
What should you be careful about with these numbers?
- Everything is self-reported. Each agency is describing its own client to win more clients. There's no independent audit, no named patient data, and no control group.
- Starting points are missing. Only Case 1 gives a before-and-after no-show rate. A percentage cut means little without the baseline.
- Other changes happened at the same time. Case 3 ran paid marketing alongside the build, and Case 1 added online booking, intake forms, and web chat at once. You can't credit one workflow for the whole result.
- Some numbers don't add up neatly. Case 1's "4 hrs/wk" time saved doesn't match its own "4+ hours per day" description.
- Survivorship. Agencies publish their best builds. Clinics where reminders made little difference don't get case study pages.
The most conservative reading is Case 4's: layered reminders cut no-shows by about a quarter to a third in that builder's appointment-based builds. That's still worth having, and it's a far safer number to plan around than 71%.
How should an agency use these case studies with a dental client?
Show the build, not the headline. A dentist will trust "here are the five workflows a three-dentist clinic set up" more than "71% fewer no-shows." Link the source, say it's agency-published, and offer to measure the clinic's own no-show rate for a month before and after. If you're packaging this as a service, our guide to selling missed call text back covers costs per client, and our HighLevel case studies database has more industries labeled the same way.

FAQ
Is there a GoHighLevel dental case study with real numbers? Yes, several agencies publish them. The most detailed is GHL Expert's 3-dentist clinic, which reports a no-show rate falling from 24% to 7% over 90 days. All of them are agency-published and self-reported, so treat the numbers as examples, not benchmarks.
How much can HighLevel reduce dental no-shows? The four published dental cases we found report reductions of 27%, 31%, 38%, and 71%. The builder behind the 27% figure saw similar cuts (27% to 32%) across dental, med spa, and veterinary builds after switching to layered SMS and email reminders. Your results depend on your starting rate and how you set it up.
What do dental clinics automate in HighLevel? Mostly reminders at 48 hours, 24 hours, and 2 hours before the visit, a reply-to-confirm or reschedule option, a waitlist that offers cancelled slots, a 6-month hygiene recall sequence, missed-call text back, and an automated review request after the appointment.
Is HighLevel HIPAA compliant for dental practices? Not by default. HighLevel's help center says HIPAA is a paid, account-wide add-on at $297 per month that includes a business associate agreement and can't be canceled once enabled. Confirm your setup with your compliance advisor.
Can a dental clinic use WhatsApp with HighLevel? One published case (a three-clinic group in Dubai) connected the WhatsApp Business API through WATI to HighLevel workflows for confirmations, reminders, and review requests. In the US, most practices use SMS, which requires A2P 10DLC registration.
