A look inside
Four of the 15 templates. Replace anything in [brackets] with your own details.
General · Busy with a customer
Hi, it’s [Business]. Sorry we missed your call! How can we help? Reply here and we’ll get right back to you.
HVAC · Sort emergencies from routine
[Business] here. We missed your call. Is this an emergency (no heat/no AC) or a tune-up/quote? Reply and we’ll get you scheduled.
Plumbing · After hours, URGENT keyword
[Business] here. Our office is closed. Reply URGENT for an active leak or sewage backup, or text what you need and we’ll reply at [7am].
Electrical · Hazards first
[Business] here, sorry we missed you. Smoke, sparks or a downed line? Call 911 now. For anything else, reply with what’s going on.
Only promise what your team can deliver: a keyword like URGENT works only if someone is watching for it, and safety lines should be approved by the owner before customers see them. The PDF explains both.
How to use it
- Pick one template for business hours and one for after hours.
- Fill in the brackets and read it aloud: it should sound like your front desk.
- Paste it into your text-back tool (your phone system, CRM, or answering service) and call your own number from a mobile phone to test it.
- Agree on the after-hours triage levels in the checklist with your on-call team before the first night.
In the US, texting customers from a local business number usually requires A2P 10DLC registration first. The full rules behind these templates, and 21 more examples, are in our missed call text back guide. For trade-specific reply flows, see the plumber scripts, the auto repair scripts, the dental office scripts, the pest control scripts, the law firm after-hours guide, and the HVAC, plumbing, and electrician after-hours answering scripts. Want a version for your exact wording? Our free missed call text message generator writes variants for your trade and counts characters and SMS segments live. Not sure it’s worth fixing? Do I need to give my email to download the template pack?
No. The PDF downloads directly from this page. There is no sign-up form and nothing to unsubscribe from.
Can I edit the templates and use them in my business?
Yes. They are free to use and adapt for your own business. Change the wording so it sounds like your team, and keep the safety lines short and owner-approved.
Which phone systems do the templates work with?
Any phone system, CRM, or answering service that sends an automatic text after a missed call and lets you edit the message. The templates are plain text with no links or special characters.
Are these templates legal or compliance advice?
No. They are general starting points. Review them with your team, follow your carrier’s texting registration rules (A2P 10DLC in the US), and check any industry rules that apply to you, such as patient privacy for dental and med spa practices.
What is in the after-hours answering script checklist?
A greeting that asks about danger first, a 4-level triage table (life safety, urgent, priority, routine), the details to capture on every call, a list of things never to say, and the test calls to run before a real caller hears it.
