What it does
This version of our missed call revenue loss calculator is set up for dental practices. It uses appointment language instead of “jobs,” values a booking as one visit rather than a patient’s lifetime, and adds scenarios for new-patient calls, lunch-hour and after-hours calls, and toothache emergencies. The defaults are adjustable placeholders, not dental industry statistics. Replace them with numbers from your phone system and practice management software.
Why dental offices need a different calculation
Most calls to a dental front desk come from existing patients: confirmations, reschedules, billing and insurance questions. Those matter, but a missed confirmation call rarely costs a booking. The calls that carry real revenue are new patients choosing a practice and people in pain who need to be seen soon. If you run the calculator on total call volume with a new-patient close rate, the result will be far too high. If you run it on total volume with a low blended close rate, new-patient losses disappear into the average.
The default view uses all calls with a deliberately low booking rate. The new-patient calls only scenario isolates the calls that matter most, so run both and compare.
What the dental defaults assume
- 100 calls a week, 15% unanswered: a placeholder for a practice with one or two people at the front desk.
- 20% of answered calls book a new appointment: low on purpose, because confirmations and billing calls rarely produce one.
- $250 per booked visit: production for a single visit. We don’t use lifetime patient value, which would inflate the cost of one missed call.
The lunch-hour scenario assumes most calls go unanswered while the desk is away. If your calls already roll to someone else at lunch, lower the missed percentage.
Where to find your real numbers
Your phone system shows answered and missed calls by hour, which tells you whether misses cluster at lunch, first thing in the morning, or after close. Your practice management software can report new patients per month and first-visit production. To estimate how many missed callers never came back, compare missed numbers against new-patient records over the same period.
What to do with the result

Why not use lifetime patient value?
Because the calculator estimates what missed calls cost in a month. Lifetime value depends on retention you can’t know from one call, and it makes every missed call look enormous. Use first-visit production, and treat anything beyond that as upside.
Are the dental defaults industry benchmarks?
No. They’re placeholders so the calculator shows a result. Replace each one with figures from your own phone system and practice software.
Should existing-patient calls count?
They count as calls, which is why the default booking rate is low. To focus on growth, use the new-patient scenario and enter only new-patient call volume.
Can a text-back ask patients about their symptoms?
