Missed Call Text Generator for HVAC Companies

What it does

Our missed call text message generator, preset for heating and cooling contractors. It writes first texts that separate no-heat and no-AC calls from tune-ups and quotes, starts with the gas-smell safety line switched on, and counts characters and SMS segments live. Add your company name, choose a tone, and copy the one-segment version you like.

Counts follow the standard SMS rules (GSM-7: 160 characters, or 153 per segment when split; UCS-2: 70, or 67 per segment). Some providers convert characters automatically or use slightly different limits, so check the segment count in your own platform before you go live. Peace Call doesn’t store or send anything you type.

Why HVAC texts ask “no heat, no AC, or a quote?”

On a peak-season day, every unanswered call is a homeowner deciding whether to wait for you or call someone else. One question that sorts the caller into no heat, no AC, or a routine quote lets your dispatcher see at a glance which replies need a tech today and which can be scheduled. In the first text, the longer form (“Is this an emergency (no heat/no AC) or a tune-up/quote?”) reads more naturally. The shorter one saves room for a booking link or the safety line.

The gas-smell line is on by default because furnaces and gas appliances are part of the job. Our HVAC after-hours answering script explains the evacuate-first approach that public agencies take for gas and carbon monoxide and gives longer approved-line examples. Treat the text version as a starting point, have the owner approve it, and match it to your gas utility’s instructions.

Which tone and options fit an HVAC company?

Friendly suits most residential customers, and Professional fits commercial and property-management accounts. If you sell maintenance agreements, a booking link for tune-ups can take routine work off the phone in spring and fall. Keep the link out of the peak-season version if your schedule is already full, so callers don’t book slots you can’t serve.

After the text: replies, coverage and cost

Decide who watches replies during a heat wave, and which replies trigger a call from on-call staff. If texts alone can’t keep up, compare overflow options in our guide to AI receptionists for HVAC and plumbing. To check whether the fix pays for itself in your busiest and quietest weeks, use the missed call calculator for HVAC companies.

US businesses texting from a local number need A2P 10DLC registration. Keep the opt-out wording, and test the whole flow from a mobile phone before the season starts.

    FAQ

What should an HVAC missed call text say?

Your company name, a quick apology, and one question that sorts the call, such as “No heat, no AC, or a quote?” Keep it to one segment and include opt-out wording.

Should the text mention carbon monoxide?

The generator’s short line covers gas smells. If you want a CO line too, our after-hours script has wording to adapt, but check the segment count, because both lines rarely fit in one text.

Can I use a different text in peak season?

Yes. Many shops switch to the “Promise a reply window” version with a realistic time, or the after-hours version, during heat waves. Only promise reply times you can keep.

Why does the generator default to HVAC on the main page too?

HVAC is the main generator’s default trade. This page adds HVAC-specific examples, the safety line switched on, and links to HVAC scripts and costs.
