Missed Call Text Back for Gyms and Fitness Studios: Trial Booking, Reminder, and Reply Scripts
Short answer
A gym's missed-call text should name the gym, say the team is coaching a class, and send one link to book a trial or first visit, because most callers want a price, a class time, or a trial. Confirm every trial booking right away, remind before the class (with parking and what to bring), and send one friendly rebook text 15 to 60 minutes after a no-show. Route injury, cancellation, and billing replies to a person. In HighLevel, use the built-in text-back plus separate workflows for no-shows, because a No-show status pulls the contact out of a running workflow. US texts cost under a penny per segment plus A2P registration. The one detailed gym example we found (an anonymous studio, published by the agency that built it) reports trial no-shows falling from 55% to 14%; it's self-reported, so don't expect the same.
US only: A2P 10DLC registration applies to US phone numbers and US carriers. Texting rules in the UK, EU, Australia, New Zealand and Canada are different (sender ID, number bundles, consent laws), so check your own country’s rules before relying on this.
How this guide was made: Our guides are researched and drafted with the help of AI tools, then fact-checked against the linked sources before publishing. Editorial policy.
Most calls to a gym come from someone who is almost ready: "How much is a membership?", "Do you have a 6am class?", "Can I try it first?" The person at the front desk is checking in members, the coaches are on the floor, and the owner is often teaching. When that call goes to voicemail, the caller usually just tries the next gym on the map.
Missed call text back sends an automatic text when a call goes unanswered. Our main missed call text back guide covers the basics. This page is the texting side for gyms and fitness studios: eight first texts, four trial-booking and reminder texts, four reply scripts, a routing table, a HighLevel (GoHighLevel) setup, and costs. It's based on HighLevel help docs, Health & Fitness Association data, and two agency-published examples checked October 15, 2026. It isn't legal advice: have whoever handles your contracts and marketing consent review the lines before go-live.
What should a gym's missed call text back say?
Name the gym, show you saw the call, and give one next step, usually a link to book a trial class or first visit. Ask one sorting question at most ("New or current member?"). Only quote prices your gym publishes and keeps current. Each template below fits in one SMS segment (160 plain-text characters) with a 23-character gym name and a short booking link. Skip emojis and curly apostrophes, since either switches the message to an encoding with only 70 characters per segment (HighLevel: How to Calculate SMS and MMS Costs). Replace anything in [brackets], and only promise reply times you can keep. You can check your own versions with our free missed call text generator.
First texts (sent automatically after a missed call)
- Daytime, team coaching a class:
Hi, it's [Gym]. Sorry we missed your call, we're coaching a class. New or current member? Reply here, or book a trial: [link] - After hours:
[Gym] here. We're closed now and open at [5am]. Book a trial class anytime at [link], or reply with your name and we'll text you then. - Weekend or holiday hours:
Thanks for calling [Gym]. Today we're open [8am-12pm] only. Reply with your question and we'll text you back, or see times: [link] - New prospect:
Hi from [Gym]! Thanks for calling. New to us? The easiest start is a trial class. Pick a time here: [link] - Current member (tagged in your system):
Hi, it's [Gym]. Sorry we missed you. Need to book a class or ask about your membership? Reply here and we'll help. - Busy hour (class change-over):
[Gym] here. Classes are running until [7pm]. Reply with your question or a good time to call, and we'll get back to you. - Repeat caller (second missed call):
Hi again from [Gym]. We saw you called twice. Reply with your name and we'll call you back as soon as a coach is free. - One follow-up, only if there's no reply:
[Gym] here, following up on your call earlier. Still want to try a class? Reply anytime, or book here: [link]
Template 5 needs a workflow that checks for a member tag (setup below). Send template 8 once at most. A second chase reads like marketing, not a reply to their call. HighLevel also notes that its built-in text-back fires on every missed call, even repeat calls in a short window, and suggests a workflow with a wait step or call-count tags to avoid duplicates (HighLevel: Missed Call Text Back).
What the templates leave out matters too: no "get shredded in 30 days," no weight-loss promises, and no "your first month is free" unless that offer is real, written down, and still running.
What should gym trial booking and reminder texts say?
Confirm the booking at once, remind the person before the class with the practical details, and give a one-word way to confirm or move it. A first class is intimidating for many people, so "where do I park and what do I bring" is often more useful than a sales line.
- Trial booked (send within a minute):
You're booked, [First name]! [Class] on [Tue Oct 20 at 6pm] at [Gym]. What to bring and where to park: [link]. Reply YES to confirm. - Reminder, day before:
[Gym]: see you tomorrow at [6pm] for [Class]. Bring water and sneakers, and arrive 10 min early. Reply R if you need a new time. - Reminder, 2 hours before:
[Gym]: your class with [Coach] starts at [6pm]. Parking and entrance info: [link]. Reply R to move it. - No-show, same day:
[Gym] here. We missed you at [6pm] today, no worries. Want to pick a new class this week? Reply with a day, or book: [link]
Template 9 isn't a reply to a missed call if the person booked through a web form or ad, so make sure your form says they agree to get texts. Our missed call text back laws by state guide covers consent basics. Keep the full "what to expect" details on your own page and link to it, so the texts stay short.
Do trial reminders really change show-up rates?
The most detailed gym example we found says so, but treat it as one studio's self-reported story. GHL Expert, an agency that builds HighLevel systems, published a case study of an anonymous boutique functional-training studio (GHL Expert, undated, checked October 15, 2026). The agency reports:
- Trial-class no-shows fell from 55% to 14% after an automated 5-touch SMS and email reminder flow (its FAQ says 18% within three weeks and 14% by week 8).
- Trial-to-membership conversion went from 18% to 65%. The page labels this "+47%," which is the gap in percentage points.
- 38 lapsed members came back within 90 days after a 3-touch win-back campaign to about 300 former members.
- A missed-class text fired about 15 minutes after a no-show with a link to pick a new slot.
Read the fine print before you borrow the numbers. The studio was spending on Instagram and Facebook ads for a paid trial pass, the conversion jump came alongside a time-limited discounted first month, and the figures are the agency's own, about its own client, with no way for us to verify them. A second builder, Arslan Automates, reports "46% more trials converted" and "+19% win-back revenue" for one anonymous fitness studio (Arslan Automates, October 5, 2026), and says each figure is one business's own before-and-after comparison. Neither is typical; use them as ideas for what to build, not as a forecast.
How should you reply once the person texts back?
Reply fast, ask one question at a time, and hand anything about health, billing, or cancelling to a person. These work whether the front desk or an AI chat assistant replies. If you use AI, paste them in word for word and tell it never to give medical or diet advice, promise results, or invent prices.
- Price question:
Thanks for asking! Our current rates are here: [link]. Most people start with a trial class so you can see if it fits. Want a time? - Reschedule:
No problem. We have [Thu 6pm] or [Sat 9am]. Which works? If neither does, reply with a day and we'll check. - Injury, health condition, or "is it safe for me" question:
Good question for a coach, and we don't give medical advice by text. Please check with your doctor first. Want a coach to call you? - Cancel, freeze, or billing request:
Thanks for letting us know. A team member will reply about your membership by [tomorrow]. You can also call us at [number].
Script 16 matters more than it looks. A cancellation request sitting unanswered in an automated thread is a fast way to earn a bad review, and membership contracts and state cancellation rules may set what you have to do and how fast. Have a person handle every one of these, and check your own contract terms with your advisor.

| Reply or signal | What happens | Who's notified |
|---|---|---|
| "Hurt," "injured," "chest pain," "emergency" (your list) | Script 15; if it sounds urgent, a person replies with "call 911" | Manager or head coach, at once |
| "Cancel," "freeze," "billing," "charge" | Script 16 → follow your contract process | Front desk / billing |
| New prospect wants a trial | Script 4 or booking link | Nobody urgently |
| R, "reschedule," "can't make it" | Script 14 → update the booking | Front desk |
| YES | Mark the trial confirmed | Nobody |
| Price question | Script 13 with your published rates | Nobody urgently |
| "Don't text me," STOP | Stop texts (your platform handles STOP) → note the preference | Front desk |
Keep the trigger-word list short, and have a person read every flagged reply the same day.
How do you set up missed call text back for a gym in HighLevel?
Start with the built-in feature, then add workflows for trials and no-shows. The steps follow HighLevel's help docs as of October 15, 2026.
Option 1: built-in text-back (five minutes). In the sub-account, go to Settings → Phone System → Voice → Voicemail & Missed Call Text Back, open Missed Call Text Back, enable it, click Customize, paste template 1 or 2, send a test, and save. HighLevel says an incoming call timeout of 10 to 20 seconds is typically recommended, and that answered calls never trigger a text (HighLevel: Missed Call Text Back).
Option 2: workflows (more control). Five workflows cover most gyms:
- Text-back: trigger on Call Details (incoming; no-answer, busy, or voicemail) → short wait → send template 1 or 2 → tag the contact (Workflow Trigger: Call Details). Turn off the built-in feature if you use this, so callers don't get two texts.
- Member vs. prospect: an If/Else step checks for a "member" tag (Workflow Action: If/Else). Members get template 5; everyone else gets template 1 or 4.
- Trial booked: trigger on Appointment Status = New for your trial calendar → template 9 at once → template 10 the day before → template 11 two hours before.
- No-show: a separate workflow on Appointment Status = No-show → wait 15 to 60 minutes → template 12 (Workflow Trigger: Appointment Status). Keep it separate because HighLevel says changing an appointment to Cancelled, Invalid, or No Show pulls the contact out of the workflow that was running (Appointment scenarios in Workflow). Decide who marks no-shows (a coach at check-in, or the front desk), or the trigger never fires.
- Flagged replies: trigger on Customer Replied, filter Reply Channel = SMS and the message containing your trigger words, then send an internal notification to the manager (Workflow Trigger: Customer Replied).
If your gym software (class booking or billing) already sends booking confirmations and reminders, keep those and use HighLevel for the missed-call and lead side, so people don't get two sets. Our workflow build guide shows the text-back workflow step by step, and the A2P 10DLC registration guide covers the texting registration you need first.

Because the caller is often about to start a membership that lasts years. The Health & Fitness Association's 2026 US Health & Fitness Consumer Report, based on a survey of about 18,000 US residents, found:
- 81 million Americans held a gym, studio, or other fitness facility membership in 2025, a record and up 5.2% from 2024 (HFA press release, April 9, 2026).
- Member churn fell to 7.1%, and average membership tenure reached five years, both decade bests (Health & Fitness Business, May 2026).
These are national survey figures, not your gym's numbers, and how many callers would have joined depends on your market and price. Our missed call calculator lets you plug in your own call volume and membership value.
How much does missed call text back cost a gym in HighLevel?
Under a penny per text segment, plus your number and A2P registration. From HighLevel's Phone System Pricing & Billing Guide (modified October 12, 2026), US prices checked October 15, 2026:
| Item | Price (USD) |
|---|---|
| SMS, per segment | $0.00747 outbound and $0.00747 inbound, plus carrier fees (about $0.0035 to $0.0050 per outbound SMS on the major carriers) |
| Local phone number | $1.15/month |
| A2P 10DLC registration (Low Volume) | $22.50 one-time + $1.50 to $10.50/month per campaign |
These sit on top of a HighLevel plan, which starts at $97/month for Starter (HighLevel pricing). Our GoHighLevel pricing guide breaks down the plans. As a rough example, 60 missed calls a month getting one text, plus 40 trial bookings getting three texts each, is about 180 one-segment texts, or about $1.35 in HighLevel's per-segment SMS charges before carrier fees and replies. Check your own volume.
What mistakes should gyms avoid with text-back?
- Promising results. "Lose 10 lbs in your first month" in an automated text is a claim you can't control.
- Advertising a free trial you don't run. Only mention offers that are real and current.
- Letting cancellation requests sit. Route "cancel" and "billing" to a person the same day.
- Answering health questions by text. Point people to their doctor and offer a coach call.
- Stacking reminders from two systems. If your booking software and HighLevel both remind, people get double texts.
- Treating win-back texts like replies. Texts to former members about new classes or offers are marketing; get consent and advice first.

FAQ
What should a gym text a missed caller? Name the gym, say the team is coaching a class, and send a trial booking link: "Hi, it's [Gym]. Sorry we missed your call, we're coaching a class. New or current member? Reply here, or book a trial." Leave out prices unless your gym publishes them.
How soon after a no-show should a gym text? Within the hour is a reasonable default. The agency case study above reports sending a rebook text about 15 minutes after a missed trial class. Keep it friendly, with no guilt, and send one link to pick a new time.
Can a gym send win-back texts to former members? Those are marketing texts, not replies to a call, so they need the right consent under the rules that apply to you. Our laws by state guide covers the basics; ask your advisor before a campaign.
Should a gym handle cancellations by text? Acknowledge the request by text, then have a person handle it under your membership contract and the rules in your state. Don't let an automation or AI process cancellations on its own.
Can AI reply to gym leads? HighLevel's Conversation AI can reply to messages; AI Employee Growth ($50/month per sub-account) includes 1,000 agent responses a month (AI Product Pricing). Give it the scripts above and forbid medical advice, result promises, and made-up prices.
