What it does
Enter your weekly call volume, how many calls go unanswered, your booking rate, and your average job value. The calculator estimates the jobs and revenue those missed calls may cost you each month and year, and how many jobs a fix would need to win back to pay for itself. Every default is an adjustable assumption, not an industry statistic: replace it with numbers from your own call log.
How the calculator works
The math is deliberately simple, so you can check it by hand:
- Missed calls per month = calls per week × 52 ÷ 12 × the share of calls that go unanswered.
- Callers lost = missed calls × the share of those callers who never reach you (they don’t call back, or you call back too late).
- Jobs lost = callers lost × your close rate.
- Lost revenue = jobs lost × your average job value, per month and × 12 per year.
The fix section divides the fix’s monthly cost by your average job value to show how many recovered jobs it takes to break even, then applies your “wins back” percentage to estimate the net result.
We don’t pre-fill industry “averages” because the honest answer varies a lot by trade, season, and how your phones are staffed. The defaults, including the trade presets, are placeholders. Your own call log is a far better source than any survey. For trade-specific scenarios and advice, open the versions for plumbers, HVAC companies, dental offices, or pest control companies.
Where to find your real numbers
- Calls and missed calls: most business phone systems, VoIP apps, and call-tracking tools show answered vs. missed calls. Pull the last four weeks so one busy or quiet week doesn’t skew it, and include after-hours calls.
- Callers who never get through: compare missed numbers with numbers you later spoke to or booked. Anyone missed who never appears again is a likely loss.
- Close rate: jobs booked ÷ answered calls over the same period. If you only want to count new-customer calls, lower the call volume instead.
- Average job value: your average invoice from your accounting or field-service software. Leave out your biggest one-off jobs.

3. Cover overflow with an answering service or AI receptionist

How much revenue do missed calls cost a small business?
It depends on your call volume, how many calls go unanswered, how many of those callers never reach you, your close rate, and your average job value. Multiply them together, as this calculator does, using numbers from your own call log rather than generic industry averages.
Are the default numbers industry statistics?
No. The defaults (40 calls a week, 20% missed, 50% never reached, 25% close rate, $350 average job) are placeholders so the calculator shows a result. The trade presets (plumbers, HVAC, electricians, dental offices, pest control, law firms) are placeholders too. Replace each one with your own figures.
Is lost revenue the same as lost profit?
No. The calculator estimates revenue (invoice value). Your lost profit is lower once you subtract materials, labor, and other job costs.
What’s the cheapest way to stop losing missed calls?
