Missed Call Text Back for Cleaning Companies: First Texts, Quote-Request Scripts, and Safe-Products Wording

Short answer

A cleaning company's missed-call text should name the company, say the team is out cleaning, and ask what kind of clean the caller needs and how big the home is, since that is what you need to quote. Recurring-clean customers should be tagged so they get a different text from new leads. Keep chemical advice to short, source-backed lines: never mix bleach with ammonia or other cleaners, and call Poison Help at 1-800-222-1222 (911 if the person has trouble breathing). In HighLevel, use the built-in text-back or a workflow that separates recurring clients from new quote requests. US texts cost under a penny per segment plus carrier fees and A2P registration.

Cleaning crews can't answer a phone with a mop in one hand and a client's kitchen in front of them. The call that rings out is often a new customer comparing three companies and booking the first one that replies.

Our main missed call text back guide covers the basics. This page is for residential and commercial cleaning companies: eight first texts, eight reply scripts, chemical-safety lines drawn from CDC and Poison Control guidance, and a HighLevel (GoHighLevel) setup that keeps recurring clients separate from new quote requests. Sources were checked October 11, 2026. This isn't legal or medical advice: licensing, insurance and bonding rules vary by state, so have the owner review every line.

Peace Call is a HighLevel affiliate, so keep that in mind when you read our HighLevel notes.

What should a cleaning company's missed call text back say?

It should name your company, show you saw the call, and ask the two things you need for a quote: the type of clean and the size of the home. Keep it to one SMS segment (160 plain-text characters); each first text below fits with a 23-character company name. Emojis and curly apostrophes switch the text to an encoding with only 70 characters per segment (HighLevel: How to Calculate SMS and MMS Costs). Replace anything in [brackets], and only promise reply times you can keep. To check a message after adding your name, use our free text message generator.

First texts (sent automatically after a missed call)

  1. Team out cleaning: Hi, it's [Company]. Sorry we missed you, our team is out cleaning. What kind of clean do you need, and how many bedrooms? Reply and we'll quote.
  2. After hours: [Company] here. We're closed now and open at [8am]. Reply with the type of clean and your zip code, and we'll text you first thing.
  3. Weekend: Thanks for calling [Company]. We're closed today. Reply with what you need cleaned and your zip code, and we'll text you [Monday].
  4. Move-out or deep clean: [Company] here, sorry we missed you. Calling about a move-out or deep clean? Reply with the move date and home size and we'll check availability.
  5. Recurring client (tagged in your system): Hi, it's [Company]. Sorry we missed you. Calling about your regular clean? Reply with what you need and we'll sort it out today.
  6. Commercial or office: [Company] here. Calling about office cleaning? Reply with the building size and how often you need us, and we'll send a quote.
  7. Repeat caller (second missed call): Hi again from [Company]. We saw you called twice. Reply with what you need and we'll call you back as soon as someone is free.
  8. One follow-up, only if there's no reply: [Company] here, following up on your call earlier. Still need a cleaner? Reply anytime and we'll find you a time.

Template 5 needs a workflow that checks for a recurring-client tag (setup below). Send template 8 once at most.

How should you reply once the customer texts back?

Reply fast, ask one question at a time, and keep prices and product claims to approved wording. These scripts work whether a scheduler, the owner, or an AI chat assistant is replying. If you use AI, paste them in word for word and tell it never to recommend a chemical or give medical advice.

  1. Booking a walkthrough or clean: Thanks! We can come [Tue 9-11am] or [Wed 1-3pm]. Which works better? We'll confirm the price before we start.
  2. Quote basics: To quote it we need bedrooms, bathrooms, any pets, and the type of clean (standard, deep or move-out). Reply with those and we'll send a price.
  3. Pets and allergies: Tell us about pets and any allergies or scent sensitivities. We'll note it for the team and can use fragrance-free products on request.
  4. "What products do you use?": We use [product list]. We never mix cleaners, and we can use your products if you prefer. Any sensitivities we should know about?
  5. "How much?": It depends on the size and type of clean, so we quote once we have the details. No pressure to book that day. Want a time?
  6. Chemical safety: If someone breathes in fumes or swallows a cleaner, call Poison Help at 1-800-222-1222 (24/7). If they have trouble breathing, call 911.
  7. Insurance and background checks: Yes, we are [insured/bonded] and our team is [background-checked]. We can send proof of coverage on request. Want a copy?
  8. Out of service area: Thanks for reaching out. We don't cover [zip/area], so we'd rather point you elsewhere than keep you waiting. Good luck finding a cleaner.

Only quote a fee if it's a fixed, approved number (for example a published minimum). Script 15 should be edited to say only what's true for your company. Script 14 is a one-time safety line, sent only if a customer raises a product-exposure concern.

Where does the chemical-safety wording come from?

It condenses public health guidance. A text should point people to emergency help quickly and never keep them texting when they should be calling.

  • Never mix bleach with ammonia or other cleaners. Poison Control says not to mix bleach and ammonia or bleach and acids, and notes that ammonia is common in glass cleaners and that many household cleaners contain acids, including vinegar and some toilet-bowl cleaners (Poison Control: Chlorine gas). The CDC's chemical fact sheets say the same plainly: do not mix household cleaners (CDC: Ammonia, CDC: Chlorine). That is why script 12 says your team never mixes cleaners.
  • Know where to send people. Both CDC pages list the Poison Help Line, 1-800-222-1222, and 911 for emergencies. Script 14 uses exactly that split.
  • Read labels and ventilate. Poison Control recommends reading labels, wearing gloves with hypochlorite products, and working in a well-ventilated area. Your team's training, not a text message, is where that belongs.

Keep every safety line short enough to read in a few seconds and don't give treatment advice by text.

How do you set up missed call text back for cleaning in HighLevel?

Start with the built-in feature for speed, then move to workflows when you want leak routing. The steps below follow HighLevel's help docs as of October 2026.

Option 1: built-in text-back (five minutes). In the sub-account, go to Settings → Phone System → Voice → Voicemail & Missed Call Text Back, open Missed Call Text Back, enable it, paste template 1 or 2, send a test, and save. HighLevel says an incoming call timeout of 10 to 20 seconds is typically recommended (HighLevel: Missed Call Text Back). If the number called can't send SMS, HighLevel sends from another eligible number, so tell your team the text may come from a different number.

Option 2: workflows (more control). HighLevel recommends customizing its Missed Call Text Back recipe in Workflows to avoid duplicate texts. Three workflows cover most cleaning companies:

  1. Text-back: trigger on Call Details (incoming; no-answer, busy, or voicemail) → short wait → send template 1 or 2 → tag the contact (Workflow Trigger: Call Details).
  2. Recurring client vs. new lead: an If/Else step checks for a "recurring" tag or an open opportunity in your recurring-clients pipeline (Workflow Action: If/Else). Recurring clients get template 5 and an internal notification; new callers get template 1.
  3. Safety alert: trigger on Customer Replied, filter Reply Channel = SMS and the message containing "fumes," "swallowed," "allergic," "burning" or "breathe," then send an internal notification to the owner with the message body (Workflow Trigger: Customer Replied). Test it with real spellings and typos.

If your scheduling software (for example Jobber or Housecall Pro) doesn't sync with HighLevel, keep the tags simple: add "recurring" at signup and remove it at cancellation. Our GoHighLevel vs Jobber comparison covers how a CRM and a field service tool split the work. To estimate what unanswered calls cost you, try the free missed call calculator.

How much does missed call text back cost a cleaning company in HighLevel?

Under a penny per text segment plus carrier fees, plus your number and A2P registration. From HighLevel's Phone System Pricing & Billing Guide (US, as of October 2026):

Item Price (USD)
SMS, per segment $0.00747 outbound and $0.00747 inbound, plus a carrier fee (about $0.0025 to $0.0100)
MMS (photos), per message $0.0220 outbound; $0.0165 inbound on a local number, plus carrier fees
Local phone number $1.15/month
A2P 10DLC registration (Low Volume) $22.50 one-time + $1.50 to $10.50/month per campaign

Inbound replies are billed too, so a six-text back-and-forth costs roughly 6 to 11 cents, and customer photos add a few cents each. These charges sit on top of a HighLevel plan, which starts at $97/month for Starter (HighLevel pricing); our GoHighLevel pricing guide breaks down the plans. To text from a US local number you need an approved A2P campaign; our A2P 10DLC registration guide covers sample messages for service businesses.

What should a cleaning company's text-back avoid?

  • Quoting without details. A flat price by text for an unseen home invites disputes. Ask for size, type of clean, and pets first (script 10).
  • Promising "non-toxic" or "eco-safe" without proof. If you use certified products, name them in script 12; otherwise describe what you do and offer to use the customer's own products.
  • Giving health advice. Point to Poison Help and 911, nothing more.
  • Texting people who didn't call. Use text-back for inbound callers only. See missed call text back laws by state.
  • Pitching a new-client offer to a recurring customer. Use the tag-based workflow (below).

FAQ

What's the best first text for a cleaning company? Name the company, say the team is out cleaning, and ask what kind of clean and how many bedrooms. Template 1 does that in one segment.

Should the text-back quote a price? Usually not before you know the size, type of clean, and pets. A fixed, published minimum is fine.

What should we text if a customer worries about chemical fumes? Give the Poison Help number (1-800-222-1222, 24/7) and say to call 911 if they have trouble breathing, as the CDC fact sheets advise. Then have a manager call.

Can we tell customers what products we use? Yes, if the list is accurate. Offer to use their own products if they prefer, and say your team never mixes cleaners.

How do we handle recurring clients who call? Tag them in your CRM and use a workflow so they get template 5 instead of a new-customer text.
